Summary

 

Responsible for executing and recording all business transactions of the Harriman-Jewell Series. Provides administrative support to the Harriman-Jewell Series’ Director of Development for all areas of the Series’ advancement function. Maintains all financial records for the Series, including contributions, and assists Ticketing Services staff with ticket orders. Manages constituent lists and provides financial reports for the Executive Director. 

 

Duties and Responsibilities 

  • Process all inside bookkeeping functions for the Harriman-Jewell Series in cooperation with the WJC Business Office and produces financial statements for analysis and presentation of organizational performance. 
  • Maintain all records for income and expense including processing for accounts payable and accounts receivable. 
  • Execute the Series’ grant workflow including application and follow-up to foundations, public funding sources, and individuals. 
  • Manages donor recordkeeping process including electronic and paper files on every Harriman donor. 
  • Assists with Harriman-Jewell Series donor stewardship including written donor acknowledgements. 
  • Orders all supplies, processes work orders for office maintenance of facility and equipment. 
  • Works downtown Kansas City venue box office for at least ten performances. 
  • Oversees one work study student.
  • Oversees event merchandising for all performances.
  • Serves as support for ticketing services including answering phones, season and individual ticket sales, preparation of mailings and special projects. 
  • Other duties as assigned. 

Knowledge, Skills, and Abilities

  • College degree and one to three years comparable experience preferred; accounting experience helpful. 
  • Time management skills are crucial as the grant process requires strict deadlines. 
  • Customer service and communication skills are important as position deals with contacts outside the college, primarily patrons of the Harriman-Jewell Series.
  • The ability to use a computer, organize, and proofread efficiently are all necessary. 
  • Proficiency with Microsoft Office, particularly Microsoft Word, Excel, and Outlook required. 
  • Raiser's Edge experience desired.
  • Ability to work overtime as needed.

Working Conditions

Normal office environment.  Evenings and weekends at box office of downtown halls required.  Reports to Director of Development.
