Responsible for all phases of gift processing. This includes entry of gifts into Blackbaud’s Raiser’s Edge administrative database, production of receipts and/or acknowledgement letters, development of gift reports and the transfer of gifts from the Advancement Office to the Business Office. Develops, executes, exports and formats queries and correspondence in Raiser’s Edge to fulfill requests as they apply to gift entry.
Duties and Responsibilities
- Timely entry of daily gifts received and production of the correspondence acknowledging these gifts.
- Process online event registrations, profile updates and new user registrations daily.
- Process online and offline credit cards daily, if applicable, depending on volume.
- Process monthly recurring gift batches, including monthly payroll deductions, recurring credit card donors and monthly ACH payments.
- Enters new and changed constituent information such as: name, address, telephone number, salutation, codes and attributes. Serve as the primary department contact for demographic updates.
- Create and maintain event records, includes gathering necessary details to set up the accurate record in the database.
- Process all matching gift forms, make entries into database and send to the appropriate company in a timely fashion.
- Export and format existing queries to supply constituent information to fulfill campus staff information requests as they apply to gift entry.
- Run monthly reports for stock gifts and pending gifts and make sure they are sent to the appropriate individuals.
- Serve the Office of Institutional Advancement Data Team through meeting participation and taking minutes on a rotating basis.
- Collect registration fees or assist in donation processing at certain events hosted by the college.
- Process monthly pledge reminders. Assist in writing off pledges as requested.
- Other duties as assigned.
Knowledge, Skills, and Abilities
- High School Diploma or equivalent required; some college desired.
- Excellent organizational, keyboarding and proofreading skills are mandatory along with the ability to handle confidential materials.
- Working knowledge of Microsoft Word and Excel is essential.
- Raiser’s Edge experience desired.
- The ability to multi-task and prioritize tasks and projects.
- Good customer service skills for handling donor inquiries..
Working Conditions
Normal office environment. Ability to sit and use a computer terminal for extended periods of time.
