FLSA Status: Non-Exempt (3/4 to full-time)
Summary
Provides assistance to applicants, employees and retirees in a friendly and caring manner; administrative support to the Associate Director of Human Resources and Associate Vice President for Business Affairs; and has responsibility for the preparation and maintenance of personnel records.
Duties and Responsibilities
- Daily office support tasks include greeting visitors; answers common HR and benefit questions for employees and retirees; filing paperwork in employee, retiree, and benefit files; answering phones; opening mail; operating office equipment; and maintaining office supplies, benefit information and forms.

Processes payroll, background checks and benefit paperwork for new hires, terminations, employee changes and open enrollment.

Inputs and maintains employee information, benefit enrollments, terms and changes in HR and payroll systems, accounting systems, and insurance provider websites.

Processes employment applications and resumes, maintains applicant files and materials. Compiles and distributes applicant correspondence.

Posts job advertisements on Jewell’s website using common web-content management software and on other job sources as requested.

Maintains internal employee directory spreadsheets/databases and email distribution lists for faculty and staff.

Coordinates the annual United Way campaign and other similar voluntary benefit enrollments as assigned.

Creates fringe benefit worksheets and letters for employees during the annual open enrollment period.

Maintain logs of employee injuries, workers compensation claims and follow-through of all required documentation.

Processes insurance payments from retirees and former employees.

Assists with coordination and organization of employee benefit orientations, open enrollment meetings, wellness fairs, and other employee benefit meetings.

Arranges special employee events as assigned such as retirement receptions, recognition dinners, and training programs.

Maintains insurance spreadsheets for employees, retirees and COBRA participants.

Assists in completion of salary and benefit surveys, as well as annual retirement plan non-discrimination testing,

Prepares the Human Resources report for The View from the Hill publication.

Assists in preparation and completion of full-time and part-time employee and faculty appointment and reappointment letters.

Creates, distributes, and updates employee, retiree and trustee ID cards.

Performs assigned bookkeeping, research, and clerical tasks to support the Associate VP for Business Affairs.

Other duties as assigned.
Knowledge, Skills, and Abilities
- High school diploma or equivalent required. College coursework strongly preferred.
- Minimum of four years of office experience required; Human Resources and/or employee benefits experience preferred.
- A high level of service orientation is a priority.
- Advanced knowledge of and demonstrated proficiency in the use of Microsoft Office Suite.
- Proficiency or the ability to become proficient in various computer applications including, but not limited to: web content management software, administrative databases, payroll and HR report writers, and various online benefit databases.
- Must be tactful, diplomatic and possess the ability to communicate effectively.
- Strong attention to detail and logistical skills.
- Ability to handle confidential matters judiciously.
- Ability to learn new processes and software on a regular basis.
- Ability to withstand pressure of competing priorities and deadlines as well as varied responsibilities.
Working Conditions
Normal office environment.
