Email – Use of Resources and Standards of Etiquette

Computer network and resources, including E-Mail software are owned by William Jewell College and are to be used for College-related activities only. 

Faculty, students, staff and associates are individually responsible for the proper use of accounts assigned, including proper password protection, appropriate use of Internet resources and the contents of all files. Allowing friends, family or co-workers to use accounts, either locally or through the Internet, is a violation of these guidelines and does not excuse the account holder from responsibility.

All programs and files are confidential, unless they have been explicitly made available to others by the owner. However, users of the campus system must be aware that William Jewell College Information Technology staff may access individuals’ files when necessary for the maintenance of computer systems, or during investigation of serious incidents.

College E-Mail resources cannot be used to intimidate or create an atmosphere of harassment. Fraudulent, threatening or obscene E-mail materials or graphical displays used to harass or intimidate are prohibited. Chain letters, mass mailings and repeated sending of E-mail after being requested to stop are also examples of inappropriate uses of College electronic communications resources.  An individual’s network login privileges will be suspended or restricted immediately upon the discovery of a possible violation of these guidelines, at the judgment of the Director of Information Technology. The account may be removed or de-activated from the College systems permanently or until the matter is completely resolved. Serious infractions will be subject to disciplinary measures through standard College channels.

The use of E-mail for the sale of goods and services in profit making ventures is prohibited with the following exceptions:

  • Broadcast E-Mail to Jewell Students and/or the Faculty/Staff list are available on a very limited basis and must be approved by the appropriate list editor: Student Life manages the Student distribution process and Jewell Campus News (Director of Marketing) manages the Faculty/Staff distribution. These broadcast services will be limited to communications regarding campus-wide events and issues in most instances.
  • Broadcast announcement for sale of goods or services as fund raisers for the benefit of organizations recognized by the committee on campus organizations may be allowed and should be submitted to the appropriate list manager. Personal announcements and items for sale by individuals are not appropriate for broadcast email. The “Post A Message” section of Jewell Central, the campus intranet, is the appropriate venue for these kinds of communications.
